How to create new employees and/or disable old employees?

Typically, for new employees, the admin would go into the system and add a new user. For an existing employee, if the user is disabled in Active Directory, they will not be able to sign in if using Single Sign on. We can enforce SSO for all users. If a client is not using SSO, they will have to go in and disable the employee via the admin portal.

Automated Sync Options

1) If a more real-time automated employee sync is desired (in case of very high employee turnover), we also have APIs in case the client has internal expertise to develop an Employee sync with Gorilla Expense. The below link specifies the type of fields required to create a profile in Gorilla Expense. Not all fields are required, but it will give a list of what needs to be done. 



2) Another option to API is Excel automation. We can also import data via Excel if the client can upload employee data in Excel to an SFTP site. The Excel has to be in the format specified in the above link (see attachment)

3) If a client is using Dynamics Business Central, we have a new Gorilla Expense BC plugin under development that will allow clients to add all relevant details to the employee's vendor card in BC via custom fields provided by the Gorilla Expense BC plugin. This way while creating a vendor card, the user can also add other details required by Gorilla Expense (fields like who the approving manager is, expense policy limits, whether the profile is active or disabled, etc.)
