The Redirect Expense Report feature allows managers and administrators to reassign submitted expense reports to another manager for approval. This helps avoid delays and keeps the approval process moving smoothly, especially when the originally assigned approver is unavailable due to vacation, role change, or other reasons. It also supports bulk redirection for easier management.
Redirecting Expense Reports as an Admin
Administrators in Gorilla Expense have the ability to redirect expense reports to ensure timely approvals and maintain workflow continuity.
The first method allows administrators to redirect individual pending expense reports from one manager to another, providing a quick solution when a manager is unavailable to review specific reports.
Below are the steps on how to successfully redirect an expense report as an admin.
1) Redirect Expense Report – Query Expense Report
- To redirect an expense report to another manager, the admin user must first log into the Gorilla Expense application using their administrative credentials. Once logged in, the admin navigates to Analytics and selects Query Expense Reports to locate the report that needs to be reassigned.
- The admin can apply filters such as report type, confirmation number, date range, classification, project, status, company, employee, and an option to view only active employees to query the expense reports in the application. Once the user clicks on the “Execute” a list of matching expense reports appears below.
- To review or update a report, the admin can click on the report name to open the detailed view. Within the Review Status section, located in the top-right corner of the screen, a link labelled Redirect Expense Report becomes visible.
- Upon clicking the Redirect Expense Report link, a pop-up window is displayed containing two fields: Review Comments and Redirect To. The admin is required to provide a comment explaining the reason for the redirection and to select the appropriate manager from the Redirect To dropdown list.
- Once the manager is selected and the comments are entered, the admin user must click the Redirect button located at the bottom of the pop-up. If the operation is successful, a green success message appears stating: “Successfully redirected.” The selected expense report is then reassigned to the chosen manager for further approval.
2) Redirect Expense Report – User profile section
The second method allows bulk transfer of specific or all selected expense reports from one manager to another, helping maintain the smooth operation of the regular workflow in the application.
- As an administrator, the user begins by logging into the Gorilla Expense application using their credentials and accessing the home screen. From the main dashboard, the administrator navigates to the User option within the Master menu to open the User Management interface.
- In this section, the administrator locates the manager whose pending approval tasks need to be reassigned. Once the manager is identified, the administrator clicks the Edit icon located in the Action column next to the manager’s name. Upon entering the Edit User screen, the administrator selects the Redirect Expenses link, available in the user profile edit mode.
- A pop-up window then appears, displaying a message: "Following Expense Reports are pending for [User’s Name] Approval." This message is accompanied by a table listing all pending expense reports currently awaiting approval from that manager. Each entry in the list includes relevant information such as the employee's name, report title, confirmation number, report start and end dates, and subtotal amount.
- The administrator can select one or multiple reports from this list to redirect. After making the selection, clicking the Redirect button at the bottom of the pop-up initiates the reassignment.
- If the redirection is successful, a green confirmation message appears on the screen stating: “Expense Report successfully redirected.”
This feature allows administrators to efficiently reassign approval tasks to another manager, ensuring that expense reports continue to move forward without delays caused by the unavailability of the assigned manager. By enabling timely and seamless transitions in the approval process, the feature helps maintain operational efficiency and supports uninterrupted financial workflows across the organisation.
