Introduction
The Timesheet feature in the mobile application is designed to provide users with a streamlined way to manage their work hours on the go. Whether you're in the office or working remotely, the app makes it easy to create, edit, and submit timesheets. With the ability to tag customers, projects, project tasks, and other relevant details, the mobile application ensures that users can track time efficiently and accurately from their devices.
Create Timesheet
To create a timesheet using the mobile application, users must first log in using their credentials. Once logged in, they can navigate to the “Timesheets” option from the home screen.
Upon tapping the timesheet option, the user will be prompted to a list of timesheets that are available in the application. Upon clicking on the timesheet, the “View timesheet” screen will be visible to the user.
To enter time, users tap “Options” and select “Add” to insert a new row. They can then fill in details like Customer, Project, Task, Action, Status, Time Type, Hours, and Notes.
All the dropdown values are pulled dynamically from whatever the data is stored in the application by the admin, and users can make selections as per their role permissions and assigned mappings.
After entering the necessary information, the user can tap on the “Save” button to save the timesheet in draft mode.
Edit Timesheet
To edit the timesheet from the mobile application, the user can open an already saved timesheet from the list by going under “Timesheets” => “Pending” tab.
The user can edit the timesheet details like Customer, Project, Project task and Time type, Date and Time by clicking a particular timesheet line.
Submit Timesheet
Once a timesheet is created and saved, users can submit it for approval directly from their mobile device. To do this, the user must open the specific timesheet from the Pending tab and tap on the Options menu.
Selecting the "Submit" option triggers the system to validate the timesheet details. If there are no errors, the system submits the timesheet successfully and displays a confirmation message, including a confirmation number for reference.
After submission, the timesheet is moved from the Pending tab to the Completed tab, with its status updated as "Submitted to Manager". This indicates that the timesheet is now in the approval workflow and awaiting review by the appropriate approvers.
View Timesheets
Users can view their created timesheets by tapping on the Timesheet option available on the home screen. This opens the main timesheet screen, displaying all available timesheet entries grouped under the Pending and Completed tabs.
Tapping a timesheet range opens its detailed view, showing a summary of entries for that period to help track and verify status easily.
Delete Option for Unsubmitted Timesheet
Users can delete a timesheet only if it hasn’t been submitted. In the Timesheet section, pending timesheets appear in a list. To delete one, long-press the entry (marked with a yellow label if saved on both the device and the web). A confirmation pop-up will appear with a warning message.
Upon selecting Yes, the system performs the deletion. If successful, a message is displayed stating: "Timesheet deleted successfully." Tapping OK will close the popup and automatically refresh the list, removing the deleted entry from view.
